Solicitation of Donations from Community, Foundation, and Corporate Sources |

I. Definitions |
 |
A. Major Grant
Application: An application for more than $100,000 or an application in which
the College's direct contribution exceeds $33,000. |
 |
B. Small Grant
Application: An application for $100,000 or less in which the College's direct
contribution does not exceed $33,000. |
 |
II. Regulations |
 |
A. Grants, gifts,
donations, and bequests from community sources are solicited for the College by or with
the approval of the Executive Director of the CPCC Foundation, Inc. |
 |
B. College
employees and/or students proposing to solicit gifts or donations totaling more than $300
for incentive awards, raffles, and the like, shall prepare a one-page abstract describing
the proposed solicitation, obtain written approval of the supervising dean, and forward
this documentation to the Executive Director of the CPCC Foundation. |
 |
C. College
employees and/or students proposing to solicit donations of equipment valued at $300 or
more shall prepare a one-page abstract describing the proposed solicitation, obtain the
written approval of the supervising dean and unit vice president, and provide the
Executive Director of the CPCC Foundation with this documentation prior to meeting with
the Director to determine the best approach to the potential donor(s). |

D. A College work
unit or an individual employee proposing to seek a grant of funds from a local foundation
or corporation to finance a defined need will follow the procedure described below.. |

III. Procedure for
Grant Fund Solicitation |
 |
A. College work
unit or an individual member of the faculty and staff of the College interested in
developing a grant proposal to fund a defined program/project will work with the Director
of Resource Development in preparing a one-page proposal abstract and a budget abstract.
The proposal abstract will include: |

1. The purpose of
the program/project. |
 |
2. The
objectives/outcomes that relate to the mission and definitive objectives of the College. |
 |
3. The plans for
evaluating the program/project. |
 |
4. The
cost/budget/amount of grant requested. |
 |
5. The length of
the program/project and plans for it to become self-sustaining, if that is appropriate. |
 |
6. The benefits
that will accrue to the College. |
 |
7.The name and
department of the person submitting the proposal abstract. |
 |
8. The name of the
person who will be responsible for the program/project, if it is funded. |
 |
B. The Director of
Resource Development will route the abstract for "sign-on," indicating
administrative endorsement of the proposal abstract concept and budget. Abstracts that are
not endorsed will be returned to the initiator by the Director of Resource Development. |
 |
C. Following
"sign on," the Director of Resource Development will meet with the Executive
Director of the CPCC Foundation to identify the funding source(s) to which the proposal
will be directed, along with the funder's application guidelines/materials and deadlines. |
 |
D. Application
materials will be obtained from the funding source by the Director of Resource Development
who will prepare them with the person submitting the grant proposal. |
 |
E. Completed
materials will then be routed for "sign off" by the Director of Resource
Development in accord with standard College procedure: |
 |
1. The
proposal/grant application materials, including the budget, will be signed off first by
the Manager, Financial Services Department; then by the Vice President for Business and
College Services; the Vice President for Education; the Vice President for Student, Staff,
and Organizational Development; and the President, who will sign the proposal/application
on behalf of the College, as appropriate. |

2. Following
proposal/application sign off, the Director of Resource Development, the person submitting
the proposal, and the Executive Director of the CPCC Foundation will meet to determine the
manner in which the proposal/application will be delivered to the funding source. |
 |
IV. Grant
Management After Funding |
 |
